Safeguarding Policy

Our commitment to protecting children and vulnerable people on Glow Sports OS.

Last updated: 31 August 2026

1. Our commitment

Glow Sports Ltd is committed to safeguarding the welfare of all children and vulnerable people who use our Platform. We believe every person has the right to participate in sport in a safe, inclusive and respectful environment, free from harm, abuse and exploitation.

2. Who this applies to

This policy applies to all Glow Sports staff, contractors, partners, club and academy administrators, coaches, referees, organizers and any adult who interacts with minors or vulnerable people through the Platform.

3. Safe recruitment

We encourage all clubs and academies to verify the background of staff and volunteers who work with children. The Platform supports recording background checks, qualifications and safeguarding training for coaches and staff.

4. Expectations of conduct

All adults using the Platform in connection with children must:

  • Treat all children with respect and dignity
  • Never engage in any form of physical, emotional, sexual or psychological abuse
  • Avoid one-on-one private communication with a child without parental awareness
  • Respect children's privacy and only share images or information with proper consent
  • Report any concern about a child's welfare immediately

5. Consent & data

Where the Platform holds information about a child under 18, that information is collected and managed with the consent of a parent or legal guardian. Parents can access, correct or request deletion of their child's data at any time.

Photos and videos of children are only displayed publicly where the parent or guardian has given explicit consent. Consent can be withdrawn at any time.

6. Reporting a concern

If you have a safeguarding concern — about a child's welfare, the conduct of an adult, or content on the Platform — report it immediately. Contact our Safeguarding Lead at safeguarding@glowsports.co.ke. In an emergency, contact local child protection authorities or the police first.

7. How we respond

We take every report seriously. We will acknowledge reports promptly, take steps to protect the person at risk, cooperate with authorities as required, and take appropriate action against anyone found to have violated this policy — up to and including account termination and reporting to authorities.

8. Tools on the Platform

Glow Sports OS provides tools to support safeguarding, including:

  • Background check records for coaches and staff
  • Consent forms and waiver management for academies
  • Privacy controls for minors' profiles and media
  • Safeguarding records and incident logging
  • Wellness checks and welfare tracking

9. Review

We review this policy regularly to keep it aligned with best practice and applicable law. Clubs and academies are responsible for their own local safeguarding policies, which must meet or exceed this standard.
